Frequently asked questions

Getting started

We are a small day school - will we see hostel, bus and clinic screens we don't need?+

No. You choose what your school uses when you register (Day school or Boarding school, then fine-tune), and the Owner can switch parts on or off any time in Settings → Features. Switched-off parts leave everyone's menu and their reminders stop. Nothing is deleted, so turning one back on brings everything back. Students, attendance, results, fees, staff, inventory and accounting are always on. See Help.

What is FacetEdu?+

A self-serve school management platform for Nigerian schools, private and public - attendance by QR code (even with poor network), a gradebook and auto-generated report cards, fees with printable and emailed invoices and online payments, school bus management, staff payroll with payslips, accounting with bank statement matching, an optional school website on your own domain, and parent notifications over email, WhatsApp or SMS. No sales team or setup call required; a school owner registers and is running in minutes.

Do I need to install anything?+

No - FacetEdu runs entirely in the browser, at your own yourschool.facetedu.com address. Nothing to install on staff computers or phones.

Can I try it before registering my school?+

Yes - the live demo is a full, shared copy of FacetEdu seeded with a fake school. Browse it, add students, mark attendance, enter scores, all with no registration. It resets every night, so nothing you do there is permanent.

Can my account belong to more than one school?+

Not currently - each staff account belongs to exactly one school, and the school you belong to is set when you register it (as its Owner) or when an Owner/Admin there adds you as staff. A single organisational account that manages several schools at once is on our roadmap, not available yet.

Can one parent/guardian manage multiple children?+

Yes - a guardian contact can be linked to more than one student, including siblings in different classes, and receives notifications and report cards for each of them.

Staff, students & day-to-day use

Can we see how results, attendance and fees are changing from term to term?+

Yes - Reports (part of the plan, switch it on or off in Settings → Features) shows results, pass rates and credits by class, the best and weakest subjects with each teacher, students improving or dropping, attendance, fee collection, debts by how late they are, enrolment and leavers, and branches side by side - term by term. Download any report as Excel or PDF, and print a termly report for your proprietor or board. Teachers see only their own classes and the Accountant sees fees. See Reports & trends.

Can we track teachers’ and other staff attendance?+

Yes, included at no extra cost. Staff clock in and out on their phones - or, if you prefer, only by scanning a QR poster in the staff room so nobody clocks in from home. You see who is in, who is late and who isn't in yet each morning, record leave, sick days and official duty, and download a monthly report for payroll. It works on poor network too.

Can we download or print student and staff profiles?+

Yes. Each student and staff member has a Download profile PDF, and you can download a whole class or all staff in one PDF (one per page) - plus Excel lists of students and staff.

Can we add a passport photograph for each student?+

Yes. The owner or an admin uploads it on the student's page (a phone camera picture is fine - FacetEdu crops and shrinks it). It shows on the student's page and is printed on the report card and profile PDF.

Does FacetEdu track the school’s stock and equipment?+

Yes, included at no extra cost. Record stock coming in and going out (chalk, books, diesel, cleaning supplies) with who it went to, get an email when something runs low, and keep an asset register of projectors, laptops, generators and furniture with QR labels you can scan with any phone.

Does FacetEdu have a school clinic / sick bay record?+

Yes, included at no extra cost. The school nurse keeps each child's health profile (blood group, genotype, allergies, conditions, immunisations, emergency contact), records every sick-bay visit with temperature, what was done and medicine given from the store, and gets a weekly report. Parents are emailed when a child is sent home or referred, with an optional SMS.

Does FacetEdu run the school library?+

Yes, included at no extra cost. Add your books (type the ISBN and the details fill themselves in, or upload your list from Excel); every copy gets a number and a QR label. The librarian lends and takes back books by scanning the student's ID card and the book with a phone - it works without network. Reservations, overdue reminders to parents by email (SMS optional), late fines and lost-book charges on the parent's invoice, shelf checks and reading reports by class are all there. Add your librarian as a Librarian - they see only the library.

Can students write CBT (computer-based tests) on FacetEdu?+

Yes. Switch on Computer-based tests and the Student portal in Settings → Features. Teachers build a question bank for each subject and class (objective and short theory questions, typed in or uploaded from Excel), then set a timed test for their classes. Students sit it on their own phone or on the school's computers: questions and options are shuffled for each student, and answers are saved on the phone so a dropped network loses nothing. Objective questions are marked at once, teachers mark the theory answers, and one click sends the results to the CA or exam column of the report card.

Can teachers give homework and lesson notes online?+

Yes. Switch on Lessons and homework (with the Student portal). Teachers put up notes, PDF worksheets and video links for each class and subject, and set homework with a hand-in date. Students read and hand in on their phones - typed, or photos of their exercise book - and teachers mark it with feedback and can send the marks to the CA column. Parents see what is due, what was handed in and the mark. Videos are links (YouTube or Google Drive), so they don't fill the school's storage.

Does the library have e-books?+

Yes. Add an e-book as a link to a free, legal copy (for example Project Gutenberg or African Storybook) and set the classes it is for. Students open it from the Library page in the student portal. FacetEdu doesn't sell or host copyrighted books.

Can students practise WAEC and JAMB style questions?+

Yes. Teachers tick which bank questions students may practise with. In the student portal, under Tests → Practice, a student picks a subject and topic and either Learn (the right answer and why after each question) or Timed (like the real exam). Picking up to four subjects makes a JAMB-style mock under one clock. It isn't marked; students see their weakest topics, and teachers see who is practising and what the class finds hardest. FacetEdu doesn't include WAEC or JAMB past papers - your teachers' own questions are used.

Can we run a CBT exam in our computer lab?+

Yes. Open the test's Exam room and turn on a room code: students need the 6-digit code on the board to start. You see every student's progress and time left live, and can add time, let someone restart, or hand in for everyone when time is up. Each computer signs the student out after they hand in, ready for the next one.

What happens if the network goes off in the middle of a CBT test?+

The student carries on - the whole test is on the phone once it starts, and the time is kept by the school's server, not the phone's clock. Answers are sent every few seconds while there is network. If it is still off when time is up, the answers stay on the phone and are handed in as soon as the signal is back; the teacher sees them marked sent late and decides. A teacher can also add 10 minutes or let a student start again.

Our students choose electives that cost different amounts. Can FacetEdu bill that?+

Yes, included at no extra cost - switch on Activities and electives in Settings → Features. Add each club or activity with its price for the term, which classes can take it and how many places it has. Staff tick each student's choices, or parents choose in the parent portal before a closing date. The class fee stays the same for everyone and each elective is added as a line on the student's term invoice, so every family gets one bill for exactly what their child takes.

Can parents apply for admission online?+

Yes, included at no extra cost - switch on Admissions in Settings → Features. Parents fill in a short form on their phone from your link (or the Apply online button on your school website) and can pay an application fee online. You book them for an entrance exam or interview (parents are emailed the date), record the scores, send offer letters as PDFs and collect the acceptance fee with the same pay link as school fees. One click then enrols the child as a student in the class you choose - nothing is typed twice - and links the parent to the parent portal. Reports show applications by class, the conversion rate and the fees collected.

Is there a parent portal? Can students log in?+

Yes, included at no extra cost - switch on Parent portal and, if you want, Student portal in Settings → Features (separate switches). Parents sign in on their phone with a 6-digit code sent to their email (free) - no password and no app to download. One login shows all their children, even in different branches: attendance, results the school has released, the timetable, school notices, fees with a Pay now button, library books and, for boarders, the hostel bed and exeat requests. Parents with no email can get the code by WhatsApp if the school allows it (costs extra). Students in JSS and SS classes (the school can change this or switch it off) sign in with their admission number and a PIN the school prints - they see their own results, timetable and notices, never fees. A parent only ever sees their own children.

Does FacetEdu work for boarding schools (hostel, roll call, exeat)?+

Yes, included at no extra cost. Set up hostels, rooms and beds and give each boarder a bed for the term (moves are kept in their history). The boarding fee is added to the term's school fees invoice, so parents get one bill. House parents take the night and morning roll call on their phone - once it has been opened there with network, it works without it. Exeats are approved in FacetEdu and come with a QR gate pass the gate scans when the child leaves and comes back, and parents are emailed each time (SMS optional). There are also meal roll calls, visiting days with a visitors book at the gate, a property checklist at resumption and departure, room inspection scores and a private incident log - and the important things (a boarder missing at night, missed meals, a child late back, missing property) show on Needs your attention.

Can parents send pocket money, and can the tuck shop use it?+

Yes - switch on Pocket money and tuck shop in Settings → Features. Parents top up from the parent portal and pay online like school fees (or pay cash at the school). The tuck shop keeper gets their own login that only opens the tuck shop: find the child, tap what they buy, done. Each child has a daily spending limit set by the school, and a parent can set a lower one. Parents see every purchase and get one email when the balance is running low. The money is held for the families, so in Accounting it is kept out of profit and loss.

Can FacetEdu run our staff payroll?+

Yes, included at no extra cost. Set each staff member's salary once (basic, allowances, deductions such as pension and PAYE). Each month FacetEdu works out the pay - taking off days absent from staff attendance and any salary advance or loan - the Owner approves it, you upload the bank file to your bank, then lock the month. Staff get their payslip by email and in My payslips.

Does FacetEdu do the school's accounts?+

Yes, included at no extra cost. Fees, bus fees, store sales, salaries, staff loans, stock bought and bus costs go into the books by themselves. Add any other expense with a photo of the receipt (it works on poor network), upload your bank statement to tick everything off, and see income against expenses, profit and loss, cash flow and the term budget - on screen or as a PDF with your logo. Only the Owner and the Accountant can open Accounting.

Can the Owner approve big expenses before they count?+

Yes. The Owner sets an approval limit (for example ₦50,000). Any expense the Accountant records above it waits for the Owner, who gets an email and approves or rejects it. Until then it doesn't count in balances or reports.

Which banks' statements can I upload?+

Any Nigerian bank. Download the statement from internet banking as CSV (or Excel, then save it as CSV) and upload it on Accounting > Bank statements. FacetEdu finds the date, narration, debit, credit and balance columns itself, matches what it can, and a Paystack settlement can be matched to the day's fee payments with the charges recorded for you.

What does closing a term do?+

It locks the term's books: nothing dated in it can be added, changed or deleted, so the figures you gave the proprietor or board stay true. Only the Owner closes a term, and can reopen the last one with a reason if something really must change.

Who can see staff salaries?+

Only the Owner and the Accountant. Admins and teachers can't see anyone's salary. Each staff member sees only their own payslips.

Who can see a child’s health information?+

Only the Owner, Admins and the school nurse. The nurse's account sees the clinic and nothing else - no fees, scores or staff list. Teachers only see a short medical alert the nurse writes (e.g. “Asthma - inhaler in bag”), as a red badge next to the child's name.

Can we sell uniforms and textbooks to parents through FacetEdu?+

Yes. Give an item a selling price, then sell it to a student from Inventory → Sell to students. The parent gets an invoice with a pay link (or you mark it paid at the counter), and the stock goes down by itself.

How do teachers get chalk, markers and other supplies?+

From Store requests in their menu. The store-keeper is emailed, issues the items (or part of them) and the teacher is emailed when they're ready. Every issue is recorded against the person.

A teacher is absent. How do we cover their lessons?+

The Lesson cover tab lists every lesson of a teacher who is away that day, straight from the timetable, and shows which teachers are free at that time. Pick one and the lesson appears in their lessons for the day.

What can each role do?+

Owner can do everything, including billing, custom domain, and grading settings. Admin handles day-to-day management - students, staff, classes, attendance, scores, and fee invoices. Teacher covers attendance and entering scores, with view-only access to students and no access to Classes, Staff, Billing, or Settings. See the full breakdown.

How does attendance work without a card scanner?+

Each enrolled student gets a QR ID. A teacher scans it with any device's camera on the Attendance page and it's marked present automatically - no dedicated hardware needed. A student without their card on a given day can still be marked manually.

Does it work when the internet is poor or goes off?+

Yes, for the jobs done on the move: attendance (the register and QR scans), hostel roll call, bus check-ins and clinic visits are saved on the phone or laptop when there's no network, and sent automatically when it comes back - the screen shows how many are waiting. Install FacetEdu on the phone (the Install button, or Share > Add to Home Screen on iPhone) and open those screens once while you have network: after that they open and work even with no network at all. Students' tests and practice scores are kept on the phone the same way, and lessons and PDF e-books can be saved for offline. On Android, waiting work is sent by itself when the network returns, even if FacetEdu was closed. Logging in, payments, approvals and reports need network.

Can I print or email invoices to parents?+

Yes. Every invoice can be downloaded as a PDF, printed, or emailed to the guardian with a “Pay now” link - one at a time from the student's page, or a whole class at once after billing it. The PDF shows the fee breakdown, amount paid, balance, due date and how to pay.

Can I change the grading scale or pass mark after scores are already in?+

Yes, from Settings (Owner only). It applies to every report card's overall summary grade, past and future - though individual subject grades already saved keep whatever scale was active when they were entered.

Who receives report cards and notifications?+

Whoever is saved as a student's guardian contact - by phone (WhatsApp/SMS) or email, whichever is on file. There's no separate parent login; guardians receive updates and report cards directly rather than logging into the platform.

Pricing, billing & your subscription

Is FacetEdu free?+

To start, yes - a school's first term is always free, and after that, any term with 20 or fewer active students is free too. Only once a term goes above 20 active students does it get billed. See pricing for the full breakdown.

What happens once my school grows past 20 students?+

That term is invoiced at ₦1,000 per active student, with 14 days to pay from the Billing page (Owner only). Terms at or under 20 students stay free regardless of what happened in an earlier term.

What happens if an invoice isn't paid?+

Once its 14-day due date passes unpaid, the school is put into read-only lockout until it's settled. There's no surprise lockout before the due date - a pending invoice shows as a banner in the app well before then.

Where do I see my invoices and pay?+

The Billing page, visible to the school's Owner.

If my school has 21 students, do I only pay for one student over the free limit?+

No - once a school exceeds 20 students, the ₦1,000-per-student rate applies to the entire student population for that term, not just the students past 20. So 21 students is ₦21,000 for the term, not ₦1,000.

What if we add students after paying for the term?+

You get a small top-up bill for just the new students - ₦1,000 each - due in 14 days. For example, if you paid for 120 students and then admit 5 more, the top-up is ₦5,000. A student who leaves and is replaced by another is not charged twice, and students who leave during the term are not refunded. The owner gets an email, and the top-up shows on the Billing page.

We referred another school. How does the referral credit work?+

On the Billing page (Owner), use Refer a school or share your school's code and link. When the school you referred joins and pays for its first paid term, 10% of what they paid comes off your next term bill, 30 days after their payment. There is no limit. See the School Referral Programme.

What is the Active School reward?+

A thank-you for schools that really run on FacetEdu. In a term that earns the reward, a school that keeps its registers and results up to date all term, plus most of the other areas it uses (records, fees, and hostel, library or payroll if it uses them), gets 5% off its next term bill. Logins alone never count. The Owner and Admin can see how the school is doing on the Overview, and the Billing page shows what each term earned. The credit comes off once the term it was earned in has been paid. FacetEdu says in the app which terms earn the reward.

Is messaging (SMS/WhatsApp) included in the price?+

Email to parents and staff is free. SMS and WhatsApp messages may carry a separate cost depending on usage and the messaging provider, distinct from your FacetEdu term fee.

Partner Programme

Is there a proposal I can give a school?+

Yes. On Make a proposal, answer a few questions about the school - its name, roughly how many students, day or boarding, and what it struggles with - and download a PDF made out to that school: what FacetEdu does about each problem, what it will cost for their number of students, and a QR code that signs them up with your code. Signed-in partners get their name and phone in it automatically and can keep the school as their lead. There is also a plain copy with blanks to print. Prices in a proposal are always today’s; only FacetEdu can agree a different price.

Can I earn by referring schools to FacetEdu?+

Yes. Referral partners earn 10% of what a school they refer pays for its first paid term. Sales agents earn 15% of what the school pays in its first 12 months. Apply on the Partner Programme page - it is free.

When and how are partners paid?+

Only on money the school has actually paid. Each reward waits 30 days (in case of a refund), then we pay by bank transfer once you have ₦5,000 or more ready. You can see every school and every naira on your partner page.

Two people referred the same school. Who gets the reward?+

The first referral we received for that school. If two partners really worked together, we can split it.

Can parents pay school fees in parts?+

Yes. On the payment link, parents can pay the full balance or part of it (the school sets the smallest part, ₦5,000 to start). They get a receipt and a link to pay the rest. Schools can switch this off in Settings.

Custom domain & school website

Do I have to buy my own domain?+

No - every school always has a free, permanent address at yourschool.facetedu.com. Pointing your own domain at it instead is optional.

Can I use my own domain for free?+

No - a custom domain is an add-on at ₦30,000/year. It also gives you a public school website on that domain and report cards without the FacetEdu footer. You must already own (have registered) the domain - see the step-by-step guide.

When is the custom-domain invoice issued?+

Immediately, when the Owner switches the add-on on in Settings. It's due in 14 days and the add-on starts as soon as it's paid, for 12 months. An unpaid add-on invoice never locks your school.

How long does it take to go live after I add the DNS record?+

DNS changes usually take a few minutes to a few hours depending on your registrar. Once your domain points to us, https switches on automatically within about 10 minutes.

Timetable

Is there a timetable, and is it extra?+

Yes, and it's included in your ₦1,000 per student per term. Set your periods and breaks, fill in each class's week, and every teacher sees their own timetable. FacetEdu stops a teacher or a room being booked twice at the same time, and you can copy last term's timetable into a new term and print any timetable.

Our nursery/primary and secondary sections have different bell times. Is that supported?+

Yes - you choose. Pick One school day for everyone, or Different days for different sections and give each section its own periods, breaks and closing time. Clash checks still work across sections.

Can teachers take attendance in every lesson instead of once a day?+

Yes - the school chooses Once a day or Every lesson. With every lesson, each subject teacher marks their own lesson from the Attendance page, and the day's attendance is worked out automatically. Parents are still texted only once if their child is absent for the day.

School bus (transport)

Is school bus management included or extra?+

Included in your ₦1,000 per student per term - no extra charge. Set up routes and stops, opt in the children whose parents want the bus, bill bus fees on the same invoices as school fees, run daily trips, and track each bus's insurance, licence, roadworthiness and servicing with reminders.

Not every parent wants the school bus. Can children opt in or out?+

Yes - the bus is optional. A child is only on a bus, and only gets a bus fee invoice, after the school opts them in (Transport → Who uses the bus, or on the student's page). When a parent stops the bus, click Opt out: the child comes off the bus list straight away and isn't billed next term. You can see at a glance how many children use the bus and who doesn't.

How does the bus aunty check children in? Does she need a login?+

No login or email needed. The school creates a private bus phone link for each route and gives the bus aunty a 4-digit PIN. On her phone she scans each child's ID card (or taps their name) as they board and leave. The link only opens that route's trip screen, and the school can switch it off at any time.

Is there a FacetEdu app to install?+

Yes - FacetEdu installs straight from the browser, no app store needed, and it's free. On Android, tap Install when FacetEdu offers it (or Chrome's menu > Install app). On iPhone, open FacetEdu in Safari, tap Share, then Add to Home Screen. It opens from its own icon, full screen, and the phone screens (attendance, roll call, bus, clinic) work without network once opened with network.

What if there is no network on the bus?+

Check-ins are saved on the phone and sent automatically when the network returns, so nothing is lost on a bad stretch of road. Keep the trip screen open for the whole trip.

Do parents get told when their child boards the bus? Can they see where the bus is?+

Yes, with Live bus tracking switched on (Settings → Features; it is part of the plan at no extra cost). During each trip the bus aunty's phone shares where the bus is - no GPS device to buy. Parents open School bus in the parent portal to see their child's bus, how many minutes and stops away it is, and the map. They get a message when the bus is about 5 minutes from their stop, when their child gets on, and when they are dropped off or arrive at school. Phone notifications and email are free; SMS and WhatsApp are optional and charged by usage. The school sees every bus live on Transport → Live, with late trips flagged.

Who can see where the bus is?+

Only during a trip, and only the parents of children on that trip - until their own child is off the bus. The phone stops sharing when the trip is finished, and nothing is kept outside a trip. The school office sees its own buses. The bus's path is kept for 60 days, then deleted.

How much data and battery does bus tracking use?+

Very little data: the phone sends a small position about every 20 seconds - well under 0.1 MB for an hour's trip. With no network it keeps the positions and sends them when the network returns. The screen stays on during the trip (a phone browser stops GPS when the screen locks), so keep the phone charging in the bus if you can. Parents see a short line of text first; the map only loads when they tap it.

Parents & communication

Do parents need to download an app?+

No - parents don't need to download anything or log in just to stay informed. Schools reach them over WhatsApp and SMS instead, on the numbers already on file.

Can parents reply or communicate back through FacetEdu?+

Notifications go out over WhatsApp/SMS/email today; a parent can reply on that same channel, but there's no in-app two-way messaging thread yet - a two-way parent communication flow is on our roadmap.

Data & privacy

Can other schools see my school's data?+

No - every school's students, staff, scores, and fee records are isolated to that school. Nothing is shared or visible across schools on the platform.

What happens to our data if we stop using FacetEdu?+

The school owner can download everything at any time from Settings → Download your school's data - a ZIP of spreadsheets with students, staff, attendance, scores, fees and payments. To have your data deleted afterwards, email info@facetedu.com.

AI & what's coming

Does FacetEdu use Artificial Intelligence?+

The first part of School Intelligence is live: Needs your attention on the Overview page. Every night FacetEdu checks scores, attendance and fees and lists what needs a closer look - a student failing several subjects or dropping since last term, a child absent several days in a row or often on Mondays, a class behind in one subject, parents who usually pay late, and whether fees are coming in slower than last term - each with the reason. It works from your own records with clear rules, at no extra cost.

AI help (using Claude) is live too: on the Report comments page it drafts each student's report card comment from their results and attendance for the teacher to check and edit, and the Owner can have a plain-English term summary written from the school's figures, or any report on the Reports page explained in plain words. Teachers can also have Claude draft CBT questions on a topic (checked and approved before use), and staff can turn rough points into a clear parent notice. See Help on Needs your attention and AI help.

Can I ask FacetEdu questions in plain English?+

Yes - Ask your school (part of AI help). Type a question such as “Which students are below 80% attendance this term?”, “Which parents owe the most?” or simply “Tell me about my school” and get the answer, with a table, from your school's own records. The AI only matches your question to one FacetEdu knows how to answer; FacetEdu itself works out the figures, so the numbers are never made up. Everyone only sees what their login allows - teachers their own classes, and fees only for the Owner, Admins and the Accountant.

Are my students' names sent to the AI?+

No. For report comments the AI sees only a code (S1, S2...), he/she, the results, position and attendance - never names, phone numbers, fees or health records - and FacetEdu puts the first name back in afterwards. The term summary uses totals only, and report explanations see the figures only (teachers appear as Teacher A, Teacher B). CBT question drafts are told only the subject, class and topic. Ask your school sends only your question (names hidden) and your class and subject names - never any records. For notice drafts, the names of your students, parents and staff, phone numbers and emails are swapped for codes before anything is sent, and put back afterwards. Nothing an AI drafts reaches parents until a teacher has read it and pressed Save. Each school has a monthly AI allowance, and the Owner can switch AI help off in Settings → Features.

Who sees the "Needs your attention" alerts?+

Teachers see the students and subjects of their own classes, the Accountant sees the fees alerts, and the Owner and Admins see everything. Marking an alert as seen hides it only for you, for 30 days. The Owner also gets a free summary by email every Monday morning, which can be turned off.

Will AI make decisions about my students?+

No. Any AI feature we build is meant to assist educators and administrators with information and suggestions, not replace their judgment - decisions about students stay with your school's own staff.

What is the Facet Initiative?+

A planned effort to help underserved and public schools that can't reasonably afford the platform get access to it anyway, by seeking sponsorship and funding on their behalf. If this sounds like your school, reach out at info@facetedu.com.
